Privacy Policy

Last updated: November 3, 2026

At Memorill, we understand that the stories, photographs, memories, and personal information you share with us may be deeply personal. Protecting your privacy and treating your memories with care are an important part of the service we provide.

This Privacy Policy explains how Memorill (“Memorill,” “we,” “us,” or “our”) collects, uses, stores, and shares information when you visit our website, purchase our products or services, communicate with us, or participate in the creation of a memoir or memorial project.

By using our website or services, you acknowledge the practices described in this Privacy Policy.

1. Information We Collect

We may collect personal information directly from you, automatically when you use our website, or through service providers that help us operate our business.

Information You Provide to Us

When you contact us, place an order, participate in the memoir creation process, or use our services, we may collect information such as:

  • Your name
  • Email address
  • Telephone number
  • Billing and shipping address
  • Order and transaction information
  • Communications with our team
  • Information submitted through contact forms
  • Responses to AI interviews and storytelling prompts
  • Feedback, comments, and customer service correspondence

Stories, Memories and Memoir Content

Because Memorill provides personalised memoir and memorial services, you may choose to share personal materials with us, including:

  • Life stories and personal memories
  • Written answers to storytelling prompts
  • Family history
  • Names and information relating to family members or other people
  • Photographs
  • Letters and documents
  • Audio recordings or interview materials
  • Dates, locations and important life events
  • Other information you choose to include in your memoir or memorial project

We use this information only as reasonably necessary to provide the services you request, including organising, writing, editing, designing, reviewing, producing, and delivering your personalised project.

We understand that this material may be particularly personal, and we aim to treat it with appropriate care and confidentiality.

2. Photographs, Recordings and Other Materials You Provide

You may provide photographs, recordings, documents, written materials, or other content for inclusion in your memoir or memorial project.

By submitting these materials, you confirm that you have the necessary rights or permissions to provide them to us and to allow us to use them for the purpose of creating your requested product or service.

Providing materials to Memorill does not transfer ownership of those materials to us.

We do not claim ownership of your personal stories, photographs, or memoir content.

We may reproduce, edit, format, or otherwise process materials you provide only as reasonably necessary to create, review, produce, and deliver your personalised Memorill project.

3. Story Interviews and Communications

The Memorill App uses AI questions to help you recall and record memories at your own pace. Scheduled human interviews and weekly emailed questions are not included unless separately agreed.

If you participate in this service, your responses may be stored and used to help create your memoir.

These communications may include:

  • AI interview questions and answers
  • Follow-up questions about your stories
  • Requests for clarification
  • Draft review notifications
  • Project updates
  • Customer service communications

You may contact us at any time if you no longer wish to receive optional storytelling prompts.

Transactional or service-related communications necessary to complete an active order may still be sent.

4. Payment and Order Information

When you make a purchase, certain payment and transaction information may be processed by payment providers, Shopify, banks, or other payment processing services.

We generally do not directly store full payment card numbers.

Payment providers process payment information according to their own privacy policies and security practices.

5. Information Collected Automatically

When you visit our website, certain technical information may be collected automatically, including:

  • IP address
  • Browser type
  • Device information
  • Operating system
  • Pages viewed
  • Referring website
  • Date and time of visits
  • Website interactions
  • Approximate geographic location
  • Shopping cart activity
  • Cookies and similar technologies

We may use this information to operate our website, understand how visitors use Memorill, improve our services, prevent fraud, and measure website performance.

6. How We Use Your Information

We may use personal information for purposes including:

  • Providing Memorill products and services
  • Creating personalised memoirs and memorial projects
  • Communicating with you about your project
  • Sending storytelling questions and prompts
  • Reviewing and editing submitted memories
  • Creating digital proofs and drafts
  • Printing and delivering physical books
  • Creating or maintaining memorial website products
  • Processing orders and payments
  • Providing customer support
  • Improving our website, products, and services
  • Preventing fraud and protecting the security of our services
  • Complying with legal and regulatory obligations
  • Maintaining appropriate business records

Where required by applicable law, we will rely on an appropriate legal basis for processing personal information, which may include performing a contract with you, complying with legal obligations, pursuing legitimate business interests, or obtaining your consent.

7. How We Share Information

For the AI interview features, live voice is processed by OpenAI. Text interviews, recorded transcription and chapter drafting use Alibaba Cloud Qwen. The App asks for the relevant consent before use. Live AI calls currently save a text transcript in Memorill; original call audio is not recorded by Memorill. Standalone recordings are saved separately when the storyteller chooses to record and save them.

We do not sell your personal memoir stories or family memories as a product.

However, we may share information with trusted service providers where necessary to operate Memorill and provide your order.

These service providers may include:

  • Website and e-commerce providers
  • Hosting providers
  • Payment processors
  • Email and communication providers
  • Printing and book production partners
  • Shipping and logistics providers
  • Cloud storage providers
  • Analytics providers
  • Customer support tools
  • Professional advisers
  • Technology service providers

These parties may access information only to the extent reasonably necessary to provide services to us or to you.

For example, a printing provider may need access to the final memoir file in order to print your book.

A shipping provider may need your name, delivery address, and contact details in order to deliver your order.

8. Your Memoir Content Is Not Used for Advertising

We do not use the private contents of your memoir, personal stories, family photographs, interview recordings, or responses to storytelling questions to create personalised advertising for unrelated products.

We also do not publicly publish your memoir content unless you have specifically authorised us to do so.

If we would like to feature your story, testimonial, photograph, or finished memoir for marketing or promotional purposes, we will request appropriate permission where required.

9. Customer Reviews and Testimonials

If you voluntarily provide a review or testimonial, we may ask for permission to use it on our website or other marketing materials.

Where appropriate, we may display information such as your first name, general location, review text, or photographs only with the permissions required under applicable law.

You may contact us if you have questions about the use of a testimonial you previously provided.

Strictly Necessary Cookies

11. Data Retention

Saved transcripts are associated with your Memorill account. The App also keeps a temporary transcript backup on the device you use. Keep your own downloaded copies of important stories, and sign out when using a shared device.

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including providing our services, maintaining records, resolving disputes, and complying with legal obligations.

Because memoir projects may involve ongoing editing, printing, reordering, or family preservation, some project files may be retained for a period after completion of your order.

If you would like us to delete eligible memoir materials or personal information, you may contact us at:

[email protected]

Certain information may need to be retained where required by law, for accounting or tax purposes, fraud prevention, dispute resolution, or other legitimate business purposes.

13. Other People Mentioned in Your Story

Your memoir may include stories, photographs, or information relating to family members, friends, or other individuals.

When submitting information about another person, you are responsible for ensuring that you have an appropriate basis or permission to provide and use that information where required.

We encourage customers to consider the privacy of other people when deciding what information to include in a memoir or memorial project.

14. Data Security

We use reasonable administrative, technical, and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration, or disclosure.

You should therefore take reasonable care when deciding what information to transmit electronically.

15. International Data Transfers

Memorill and the service providers we use may operate in different countries.

As a result, personal information may be processed or stored outside the country or region where you live.

Where required by applicable law, we take appropriate measures regarding international transfers of personal information.

Privacy and data protection laws may differ between jurisdictions.

16. Children's Privacy

Memorill's purchasing and account services are intended for adults.

We do not knowingly ask children to independently create accounts or purchase our services.

However, because memoirs often document family histories, customers may choose to include photographs, names, stories, or memories involving children.

Such information should only be submitted by a parent, guardian, or another person who has the appropriate authority or permission to provide it.

If you believe that personal information relating to a child has been submitted improperly, please contact us at:

[email protected]

17. Third-Party Websites and Services

Our website may contain links to websites or services operated by third parties.

We are not responsible for the privacy practices, security, or content of third-party websites.

We encourage you to review the privacy policies of those services before providing personal information.

18. Marketing Communications

Where permitted, we may send you information about Memorill products, services, stories, or updates.

You may unsubscribe from optional marketing emails using the unsubscribe link provided in those communications or by contacting us.

Unsubscribing from marketing communications will not prevent us from sending necessary communications relating to an active order or service.

19. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our services, technology, business practices, or legal requirements.

When we make changes, we may update the “Last updated” date at the top of this page.

We encourage you to review this Privacy Policy periodically.
